When Should You Receive Your W-2?
The deadlines, what to do if it's late, and how to handle a missing W-2.

The deadline: January 31
Your employer is legally required to send you your W-2 by January 31st of the year following the tax year. So your 2025 W-2 must be sent by January 31, 2026. The same January 31 deadline applies whether your employer mails the W-2 or makes it available electronically.
"Sent by" means postmarked by January 31 if mailed, or made available online by January 31 if electronic. So don't panic if you haven't received a paper W-2 by January 31 โ give the mail a few extra days.
If it's still not here by mid-February
If you haven't received your W-2 by February 14, take action. Here's the order of operations:
- Contact your employer. HR or payroll can usually resolve this in a day or two. Ask if it was emailed to you, available on a payroll portal, or sent to an old address.
- Check online portals. If your employer uses ADP, Workday, Paychex, or Gusto, log in and download a copy yourself.
- Contact the IRS at 1-800-829-1040. They'll contact your employer on your behalf. Have your wage estimate from your final pay stub handy.
- File with Form 4852 if needed. If tax day is approaching and you still don't have a W-2, you can file using Form 4852 (Substitute for W-2) with your best wage estimate.
What about state W-2 deadlines?
Most states follow the same January 31 federal deadline for employer W-2 distribution. Some states have specific filing deadlines for employers to send copies to state revenue departments โ but that doesn't affect when you receive yours.
What if you changed jobs mid-year?
You'll receive a separate W-2 from each employer you worked for during the year. Both must be sent by January 31. If you forgot about an old job and didn't update your address, the W-2 may have been sent to your old address โ contact that employer's HR.

Penalty for employers who miss the deadline
Employers who fail to issue W-2s on time face IRS penalties โ currently $60 to $310 per W-2 depending on how late they are. This is a strong incentive for employers to comply. If your employer is being unresponsive, mentioning IRS reporting can sometimes prompt action.
Don't wait until the last minute
If you're missing a W-2 in late March, it's a lot harder to resolve before the April 15 tax deadline than if you started in February. As soon as you suspect your W-2 is late, start the resolution process. You can always file an extension (Form 4868) if needed โ it gives you until October 15 to file (though any tax owed is still due April 15).
